Problem
Each customer wants different documents. One needs the spec and SDS with every quote, another a CoA for every batch delivered. Someone finds the current version of each document, checks it and attaches it by hand.
What it does
YP knows which documents each customer requires. It checks each supplier CoA against the agreed spec when the batch arrives. At quote or shipment it attaches the current spec, SDS and batch CoA each customer requires.
How it works
See exactly how the work gets done.
The work starts at goods receipt, a quote or a shipment. A supplier CoA at goods receipt, a draft quote or a shipment that is ready in NetSuite starts the run.
Each supplier CoA is checked before the batch is released. The CoA values are compared with the agreed spec at goods receipt. A value out of spec, an outdated SDS or a missing CoA goes straight to quality.
YP applies the document requirements of each customer. Your customer records say which documents are needed, in which language, and whether that applies per quote or per batch.
YP finds the current version of each document. Specs and SDSs come from your document library in SharePoint, and CoAs are matched to the batch number.
Your own people release every batch and every shipment. Quality releases each batch, and your order desk releases each shipment with its documents.
